Purpose and participants
Proposed starting scope: one course or first-year program, with voluntary student participation. Choose a group small enough for the named contacts to support. The use case is checking course information and planning the week.
A four-week starting proposal
Week 1: introduce the workflow and review one syllabus. Weeks 2–3: use it during ordinary course work and collect questions. Week 4: review student feedback and support needs. Agree on dates and capacity before committing.
Who does what
Proposed DormWay role: an introduction, a named contact, and agreed support for product questions. Proposed institution role: a sponsor, an invitation to the student group, and guidance on course policies. Students use their own accounts and review imported information. Confirm staffing before launch.
Data and access
Start with student-provided course materials. Do not assume a roster import, institutional dashboard, staff access, or automated reporting. The institution and DormWay should agree on permissions, accessibility needs, any evaluation data, and the relevant review process before invitations go out.
Costs and support
Core student organization is free. This proposal does not quote a price for a supported institutional engagement. Agree on any staff support, integration work, costs, and response expectations in writing before the trial begins.
Evaluation and the end of the trial
Agree how to assess setup, source review, continued use, usefulness, and support burden. Request feedback voluntarily and decide what results can be shared. At the final review, continue, revise, or end the trial; explain account and data choices to students, including the existing deletion process.
